Sharing
Share files with team members or create public links with access controls.
V.CONNCT Hub provides flexible sharing options to collaborate with team members, share files across your organization, or create public links for external access.
Share Types
Hub offers three ways to share files and folders:

| Email Share | Send directly to specific email addresses | Sharing with specific individuals |
| Organization Share | Share with all members of your organization | Internal team collaboration |
| Public Link | Generate a link anyone can access | External sharing, clients, partners |
Permission Levels
When sharing, you can set what recipients can do with the shared content:

- View — Recipients can only view and download files
- Edit — Recipients can view, download, and modify files
- Admin — Full control including managing who has access
Sharing via Email
Share files directly with specific people by email.
Select the file or folder and click Share
Choose Email Share from the share options
Enter the recipient's email address
Select the permission level (View, Edit, or Admin)
Optionally add a personal message
Click Send to share
Recipients receive an email notification with a link to access the shared content. They may need to sign in to view the file depending on your organization's settings.
Adding Multiple Recipients
You can share with multiple people at once:
- Enter multiple email addresses separated by commas
- Each recipient can have the same or different permission levels
- All recipients receive individual email notifications
Sharing with Organization
Share files with everyone in your organization with one click.
Select the file or folder and click Share
Choose Organization Share
Select the permission level for organization members
Click Share with Organization
All organization members can now access the file from their Hub or via the shared link.

- Company announcements and documents
- Shared templates and resources
- Team-wide reference materials
- Training and onboarding content
Creating Public Links
Generate a link that anyone can use to access your file, even without an account.
Select the file or folder and click Share
Choose Public Link
Configure link settings (password, expiration, permission)
Click Create Link
Click Copy Link to copy to clipboard
Public links are accessible to anyone
Anyone with the link can access the shared content. Use password protection and expiration dates for sensitive files. Avoid sharing confidential or private information via public links.
Link Settings
Creating a Password-Protected Link
Select the file and click Share > Public Link
Enable Require Password
Enter a password (use a mix of letters, numbers, and symbols)
Set an expiration date for additional security
Click Create Link
Copy the link and share it with recipients
Send the password through a separate channel (e.g., text message, phone call)
Managing Shares
View and manage all active shares for a file or folder.
Select the file or folder and click Share
Click Manage Access to see all current shares
Viewing Current Access
The Manage Access panel shows:
- Email shares — List of individuals with access
- Organization share — Whether organization-wide sharing is enabled
- Public links — All active public links
For each share, you can see:
- Recipient name or email
- Current permission level
- When the share was created
- Link expiration (for public links)
Changing Permissions
To change someone's permission level:
- Find the share in the Manage Access panel
- Click the permission dropdown
- Select the new permission level
- Changes take effect immediately
Revoking Access
Remove access from individuals or disable public links.
Removing Email Shares
Open Share > Manage Access
Find the person you want to remove
Click the Remove button next to their name
Confirm the removal
The person immediately loses access and receives no notification.
Disabling Organization Share
Open Share > Manage Access
Find the Organization Share section
Click Disable Organization Share
Confirm the action
Disabling Public Links
Open Share > Manage Access
Find the public link you want to disable
Click Disable Link
Confirm the action
Once disabled, the link immediately stops working. Anyone trying to use it sees an error message.
Access Tracking
Monitor how your shared content is being accessed.
Available Metrics
| Metric | Description |
|---|---|
| View Count | Total number of times the file was viewed |
| Last Accessed | When the file was most recently accessed |
| Unique Viewers | Number of different people who viewed |
Viewing Access Statistics
Select the file and open its details panel
Click the Activity or Analytics tab
View access statistics and history
Access tracking helps you:
- Confirm recipients received and viewed shared content
- Identify popular shared resources
- Monitor for unexpected access patterns
Best Practices
Use the right share type: Choose email shares for specific individuals, organization shares for internal content, and public links only when external access is needed.
Set expiration dates: Always set an expiration date for public links, especially for sensitive content.
Use password protection: For confidential files shared via public link, always require a password and share it through a separate channel.
Review shares regularly: Periodically check the Manage Access panel and remove shares that are no longer needed.
Choose appropriate permissions: Grant the minimum permission level needed. Use View for read-only access, Edit only when changes are required.
