Webinar Settings
Configure capacity, registration, and recording options for your webinar.
Webinars have specific settings that control capacity, registration behavior, and recording visibility. This page covers all available webinar settings.
Capacity Limits
Set the maximum number of attendees allowed in your webinar:
| Capacity | Best For |
|---|---|
| 50 | Small workshops, team presentations |
| 100 | Department meetings, training sessions |
| 250 | Company-wide announcements |
| 500 | Large events, product launches |
| 1000 | Major conferences, public webinars |
Capacity includes all participants — hosts, co-hosts, panelists, and attendees all count toward the limit.
Changing Capacity
Open the webinar details sheet
Go to the Settings tab
Select a new capacity from the dropdown
Click Save Changes
You cannot reduce capacity below the number of currently registered attendees.
Late Registration
Control whether people can register after the webinar has started.
| Setting | Behavior |
|---|---|
| Enabled | Attendees can register and join during the webinar |
| Disabled | Registration closes when the webinar starts |
When to Enable Late Registration
- Open webinars where late joiners are welcome
- Recurring educational sessions
- Events where exact timing isn't critical
When to Disable Late Registration
- Time-sensitive presentations
- Events with structured schedules
- Sessions where late entry would be disruptive
Open the webinar details sheet
Go to the Settings tab
Toggle Allow late registration
Click Save Changes
Recording Visibility
Control whether attendees can access the webinar recording after it ends.
| Setting | Behavior |
|---|---|
| Enabled | Attendees can view the recording after the webinar |
| Disabled | Recording is only available to hosts and organizers |
Recording visibility only affects attendees. Hosts and co-hosts can always access recordings regardless of this setting.
Changing Recording Visibility
Open the webinar details sheet
Go to the Settings tab
Toggle Show recording to attendees
Click Save Changes
You can change this setting even after the webinar has ended. This lets you review the recording before making it available to attendees.
Webinar Links
Each webinar has two different links:
Event Link
The event link is for attendees:
- Leads to the registration page (before webinar)
- Leads to the webinar room (during webinar)
- Share this link publicly with anyone you want to invite
Backstage Link
The backstage link is for hosts and panelists:
- Provides direct access to the backstage area
- Allows hosts to prepare before going live
- Keep this link private — only share with presenters
Never share the backstage link publicly. Anyone with this link can access the backstage area and potentially disrupt your webinar.

Open the webinar details sheet
The Info tab displays both links
Click the copy icon next to each link to copy it
