License Usage
Monitor your organization's concurrent meeting capacity and understand license utilization.
How licenses work
1 license = 1 concurrent meeting. Licenses are pooled across your organization. When all licenses are in use, new meetings can't start until one ends.
Accessing License Usage
Go to Admin Panel → Licenses to see your license overview.
Understanding the Display
License Pool Overview
The main view shows:
| Metric | Description |
|---|---|
| Current Usage | How many licenses are in use right now |
| Total Licenses | Your organization's license count |
| Utilization | Percentage of licenses currently in use |
| Available | Licenses free for new meetings |
Example:
Current Usage: 3 / 5 licenses (60%)
Available: 2 licensesThis means 3 meetings are currently running, and 2 more can start.
Ongoing Meetings
Below the overview, you see which meetings are using licenses:
| Information | Description |
|---|---|
| Meeting name | The title of the meeting |
| Host | Who started the meeting |
| Participants | How many people are in the meeting |
| Started | When the meeting began |
| Actions | View details or end the meeting |
When All Licenses Are In Use
If your organization has 5 licenses and 5 meetings are running:
- Utilization: 100%
- Available: 0 licenses
- New meetings: Cannot start until one ends
Anyone trying to start a meeting sees a message explaining the pool is at capacity.
Peak capacity planning
If you regularly hit 100% utilization, consider adding licenses. Occasional peaks are normal, but frequent exhaustion means your team is being blocked.
Adding More Licenses
If you need more concurrent meeting capacity:
- Go to Admin Panel → Settings → Plans & Billing
- Click Modify Plan
- Increase your license count
- New licenses are available immediately
You're charged a prorated amount for the additional licenses for the remainder of your billing cycle.
Freeing Up a License
If you urgently need a license and none are available:
Option 1: Wait
Meetings end naturally. When one ends, a license becomes available.
Option 2: End a Meeting
If you have a legitimate need to free a license:
- Go to Admin Panel → Licenses
- Find the meeting you want to end
- Click End Meeting
- Confirm the action
Use with caution
Ending a meeting abruptly disconnects all participants. Only do this when absolutely necessary and ideally after communicating with the host.
License vs Users
A common question: "Do I need one license per user?"
No. Licenses are about concurrent meetings, not total users.
| Scenario | Users | Peak Concurrent Meetings | Licenses Needed |
|---|---|---|---|
| Small team, few meetings | 10 | 2 | 2-3 |
| Sales team, many parallel calls | 30 | 15 | 15-20 |
| Large org, staggered meetings | 100 | 10 | 10-15 |
You can have 100 users but only 5 licenses if you never have more than 5 meetings at once.
