Recordings and Storage
Manage cloud recordings and monitor storage usage across your organization.
Accessing Recordings
Go to Admin Panel → Recordings to see all cloud recordings in your organization.
What You Can See
Recording List
All recordings are displayed with:

| Title | Meeting name the recording is from |
| Host | Who hosted the meeting |
| Date | When the meeting occurred |
| Duration | Length of the recording |
| Size | Storage used by this recording |
| Status | Processing, Ready, or Failed |
Recording transparency
When a meeting is being recorded, all participants are notified. Users see a recording indicator upon joining (if recording is already in progress) and are notified when recording starts during the meeting.
Storage Summary
At the top of the page, you see:
- Total Storage Used — How much of your allocation is consumed
- Storage Limit — Your organization's total storage capacity
- Usage Percentage — Visual indicator of how full your storage is
Storage Allocation
Your storage allocation depends on your plan and licenses:

Storage is pooled across your organization. All recordings from all members share this pool.

Managing Storage
Monitoring Usage
Keep an eye on your storage, especially if:
- You record frequently
- You have auto-record enabled on rooms
- You're approaching your limit
The system shows warnings as you approach capacity:
- 80% — Warning banner
- 90% — Urgent warning
- 95% — Critical alert
- 100% — Recording may stop
Freeing Up Space
To reduce storage usage:
Option 1: Delete Old Recordings
- Go to Admin Panel → Recordings
- Find recordings you no longer need
- Delete them (after downloading if needed)
Option 2: Download and Delete
- Download recordings to local storage
- Delete from cloud to free space
- Keep the local copy as your archive
Option 3: Add Storage If you need the recordings online:
- Go to Settings → Plans & Billing
- Add a storage add-on
- New capacity is available immediately
Recording Status
Recordings go through several states:
| Status | Meaning |
|---|---|
| Processing | Recording is being converted and saved |
| Ready | Recording is available for playback/download |
| Failed | Something went wrong; recording may be incomplete |
Processing typically takes a few minutes after a meeting ends.
Downloading Recordings
Admins can download any recording in the organization:
- Find the recording in the list
- Click Download
- The file downloads to your device
For bulk downloads, select multiple recordings and use Download Selected.
Deleting Recordings
Deletion is permanent
Deleted recordings cannot be recovered. Download a copy first if you might need it later.
To delete recordings:
- Find the recording in the list
- Click Delete
- Confirm deletion
Deleted recordings immediately free up storage.
Bulk Deletion
For cleaning up many recordings:
- Select multiple recordings using checkboxes
- Click Delete Selected
- Confirm deletion
Who Can See What
Admins and Owners
- Can see all recordings in the organization
- Can download any recording
- Can delete any recording
Members
- Can see only their own recordings (meetings they hosted)
- Can download their own recordings
- Can delete their own recordings (from the App Section)
What Happens When Storage Is Full
If you reach your storage limit:
- Warning displayed — Hosts see warnings before/during meetings
- Recording continues — A grace period allows active recordings to complete
- New recordings blocked — After grace period, new recordings can't start until space is freed
To resolve:
- Delete old recordings
- Download and delete
- Add storage capacity
