How to downgrade your plan, reduce licenses, or cancel to the Free plan.
Downgrade Types
Reducing Licenses or Changing Plans
Examples:
- Business → Pro
- 10 licenses → 5 licenses
- Removing an add-on
Process:
- Go to Admin Panel → Billing & Plans → Modify Plan
- Make your changes in the Plan Builder
- Review the change summary
- Confirm the scheduled downgrade
Key Points:
- Changes take effect at the end of your current billing cycle
- No refunds for unused time
- You keep full access until the change takes effect
- A banner appears showing the scheduled change
- You can undo the scheduled downgrade anytime before it takes effect
Cancelling Your Paid Subscription
Downgrading to the Free plan is handled separately due to its significant impact.
This is NOT done through the Plan Builder. Instead:
- Go to Admin Panel → Billing & Plans
- Click Stop Recurring or find the Downgrade to Free link
- Complete the multi-step confirmation process
What Happens When You Reduce Licenses
If you're reducing from 10 to 5 licenses:
Usage Warning: The system checks your peak license usage. If you frequently use 8-10 licenses, you'll see a warning that reducing to 5 may cause disruptions.
Recommendations shown:
- Keep your current license count
- Choose a middle-ground reduction
- Proceed with awareness of potential impact
Cancelling to Free
Cancelling to Free results in:
- Loss of cloud recording capability
- Deletion of all cloud recordings (with grace period to download)
- Meeting duration limited to 2 hours
- Reduction to 1 license
- Loss of usage-based features
The Cancellation Flow
Impact Summary
A modal shows everything you'll lose:
- Feature limitations
- Current usage that will be affected
- Storage/recordings that will be deleted
Data Loss Warning
If you have cloud recordings:
- Exact amount to be deleted (e.g., "47 GB of recordings")
- Deadline for downloading (your next billing date)
- Download All Recordings button
Data deletion is permanent. Once the cancellation takes effect, recordings cannot be recovered.
Final Confirmation
Type DOWNGRADE to confirm. Only after typing the confirmation word does the Confirm Downgrade button become active.
After Cancellation
- Your plan remains active until your billing date
- A persistent banner shows the scheduled cancellation
- You can undo the cancellation anytime before the effective date
- Reminder emails are sent before data deletion
Scheduled Changes
When you schedule a downgrade, the system tracks it:
Viewing scheduled changes: A banner appears at the top of the Billing page showing:
- Current plan details
- What will change
- Effective date
- Option to undo
Undoing a scheduled change: Click Undo Change before the effective date to cancel the scheduled modification.
