Understand what each organization role can do and how permissions work.

Organization roles vs meeting roles

This page covers organization roles — what someone can do in the Admin Panel and platform.

Meeting roles (Host, Co-Host, Presenter, Attendee) are different and control what someone can do inside a meeting. Those are covered in the User Guide.


Organization Roles

Owner

The Owner is the highest-level role with complete control over the organization.

How you become an Owner:

  • You automatically become the Owner of any organization you create
  • An organization can have only one Owner

What Owners can do:

  • Everything an Admin can do
  • Promote members to Admin
  • Demote or remove Admins
  • Transfer ownership (coming soon)

Admin

Admins have full access to the Admin Panel and can manage most aspects of the organization.

What Admins can do:

  • Access the entire Admin Panel
  • Invite and remove members (except other admins)
  • Create and manage rooms
  • View all meetings and recordings in the organization
  • Manage billing, plans, and add-ons
  • Configure organization settings
  • End any active meeting

What Admins cannot do:

  • Promote members to Admin
  • Remove other Admins
  • Remove or demote the Owner

Member

Members can use the platform but cannot access the Admin Panel.

What Members can do:

  • Create and schedule meetings
  • Join meetings
  • Use meetings in existing rooms (if no scheduling conflict)
  • View their own meetings and recordings
  • Access the App Section fully

What Members cannot do:

  • Access the Admin Panel
  • Create or modify rooms
  • View other members' meetings or recordings
  • Manage billing or organization settings
  • Invite or remove other members

*Admins can remove Members but not other Admins or the Owner.


Changing a Member's Role

Promoting a Member to Admin

Only the Owner can promote someone to Admin:

  1. Go to Admin Panel → Settings → Members
  2. Find the member in the list
  3. Click to view their details
  4. Change their role to Admin
  5. Save changes

Demoting an Admin to Member

Only the Owner can demote an Admin:

  1. Go to Admin Panel → Settings → Members
  2. Find the admin in the list
  3. Click to view their details
  4. Change their role to Member
  5. Save changes

Role changes take effect immediately

When you change someone's role, their permissions update right away. If an Admin is demoted while using the Admin Panel, they'll lose access on their next action.


Best Practices

Who Should Be an Admin?

Make someone an Admin if they need to:

  • Manage team members (invite, remove)
  • Create and configure rooms
  • Monitor organization-wide activity
  • Handle billing and subscription changes

Keep the Admin List Small

More admins means more people who can make significant changes. Consider:

  • Most team members should be Members
  • Reserve Admin for those who actually need management access
  • The Owner should be someone who won't leave the organization unexpectedly

Admin is a sensitive role

Admins have access to billing information, payment methods, and can make significant changes to your organization. Only grant Admin access to trusted individuals. Granular roles (like billing-only access) are coming soon.
