Detailed explanations of all room configuration options.
Access Settings
These settings control who can join meetings in the room and how they enter.
Waiting Room
When enabled, participants don't join the meeting immediately. Instead:
- They enter a waiting area
- The host sees a notification
- The host manually admits each participant
Use when:
- You want to screen who joins
- You need time to prepare before participants enter
- You're running a formal meeting where you want to control the start
Default: Off
Allow Guests
Controls whether non-members of your organization can join.
- On — Anyone with the link can join
- Off — Only members of your organization can join
Use when:
- On: External clients, partners, or public events
- Off: Internal-only meetings
Default: On
Even with guests allowed, you can use passwords and waiting rooms for additional access control.
Password Protection
When enabled, participants must enter a password to join.
- Works with both room links and meeting links
- Each meeting can have its own password
- Passwords help ensure people join the right meeting
Use when:
- You share room links publicly
- You want an additional verification step
- Multiple meetings are scheduled in the same room

Meeting Behavior Settings
These settings control what happens during meetings.
Mute on Entry
When enabled, participants join with their microphone muted.
Use when:
- Large meetings where background noise is disruptive
- Webinar-style presentations
- You want participants to explicitly unmute when speaking
Default: Off
Record Meetings
When enabled, meetings in this room are automatically recorded to cloud storage.
Use when:
- Compliance requirements
- Training sessions that should be archived
- Meetings that absent members need to review
Important considerations:
- Recordings use cloud storage from your plan
- All participants are notified that recording is active
- Auto-recorded meetings may use storage faster than expected
Default: Off
Storage costs
Cloud recordings count toward your organization's storage allocation. If you enable auto-record, monitor your storage usage to avoid overages.
Capacity Settings
Participant Capacity
The maximum number of people who can join a meeting in this room.
Options depend on your plan:

Large Meetings add-on
If you've purchased the Large Meetings add-on, you can set higher capacity limits. The add-on increases the maximum participants per meeting.
How Settings Are Applied
Room vs Meeting Settings
- Room settings are the defaults for all meetings in that room
- Meeting settings can override room defaults for individual meetings
- Some settings can only be set at the room level
Changing Settings
When you change room settings:
- Changes apply to future meetings only
- Meetings currently in progress keep their original settings
- Already-scheduled meetings may or may not pick up changes (depending on the setting)

Feature Toggles
These settings control which collaboration features are available during meetings in this room.
Chat
When enabled, participants can send messages during meetings.
Options:
- On — Chat panel available to all participants
- Off — No chat functionality during meetings
Use when:
- On: Most meetings benefit from chat for links, notes, and side discussions
- Off: Situations requiring full attention without text distractions
Default: On
Polls
When enabled, Hosts and Co-Hosts can create live polls.
Options:
- On — Poll creation available
- Off — No polling functionality
Use when:
- On: Training, webinars, or meetings needing audience feedback
- Off: Simple meetings without voting requirements
Default: On
Whiteboard
When enabled, presenters can use the collaborative whiteboard.
Options:
- On — Whiteboard available for collaboration
- Off — No whiteboard access
Use when:
- On: Brainstorming, design reviews, or educational sessions
- Off: Standard meetings, webinars without visual collaboration
Default: On
Media Player
When enabled, Hosts and presenters can share video content via the media player.
Options:
- On — Media player available for synchronized video playback
- Off — No media player functionality
Use when:
- On: Training sessions, presentations with video content
- Off: Meetings that don't require video sharing
Default: On
Display Link
When enabled, Hosts and presenters can share web URLs for all participants to view together.
Options:
- On — Display link sharing available
- Off — No link sharing functionality
Use when:
- On: Demos, document reviews, or sharing web content
- Off: Meetings without shared browsing requirements
Default: On
Virtual Backgrounds
When enabled, participants can use blur or image backgrounds.
Options:
- On — Virtual backgrounds available
- Off — Participants can only show their real background
Use when:
- On: Provides privacy options and professional appearance
- Off: Situations requiring visual authenticity
Default: On
Per-meeting overrides
Feature toggles can be overridden when scheduling individual meetings. Room settings act as defaults.
