Managing Meetings

Edit, cancel, reschedule, and view details of your meetings.

Once you've created meetings, you can manage them — view details, make changes, or cancel if plans change.


Viewing Meeting Details

Go to Meetings in the sidebar

Find the meeting in the table

Click the meeting row to open the details sidebar

Go to Calendar in the sidebar

Click on the meeting event

Meeting Details Sidebar

The details sidebar shows:

Meeting Info Tab:

  • Title and description
  • Status (scheduled, in progress, ended, cancelled)
  • Host information
  • Date, time, and duration
  • Participant count
  • Settings summary

Invitees Tab (host/co-host only):

  • List of all participants
  • RSVP status for each
  • Role assignments
  • Options to add/remove participants

Editing a Meeting

Only the host can edit meetings. Editing is available for scheduled meetings that haven't started yet.

Open the meeting details sidebar

Click the Edit button (or select Edit from the actions menu)

Make your changes in the edit form

Click Save Changes

No edits during meetings. Once a meeting has started, you cannot edit any meeting details. Make sure all settings are correct before starting.

Editing Recurring Meetings

When editing a recurring meeting, choose the scope:

  • This instance only — Changes apply only to this occurrence
  • This and following — Changes apply from this occurrence onward

You cannot retroactively change past occurrences. Edits only affect the current instance or future ones.


Cancelling a Meeting

Cancelled meetings notify participants and are marked as cancelled (not deleted).

Open the meeting details sidebar

Click the Cancel button (or select from actions menu)

Optionally add a cancellation reason

Choose whether to notify invitees

Confirm the cancellation

Use Cancel when you want to inform participants and keep a record. Use Delete to remove meetings entirely (like test meetings or duplicates).


Deleting a Meeting

Permanently remove a meeting from the system.

Cancel before deleting. If a meeting has invitees, you must cancel the meeting first before you can delete it. This ensures participants are notified.

Open the meeting details sidebar

If the meeting has invitees, cancel it first

Click the Delete button (or select from actions menu)

Confirm the deletion

When to Delete

  • Test meetings you created by accident
  • Duplicate meetings
  • Meetings with no invitees
  • Cancelled meetings you want to remove from history

Deletion is permanent. You cannot recover a deleted meeting. Consider cancelling instead if you want to keep a record.


Rescheduling a Meeting

To reschedule, edit the meeting and change the date/time.

Open the meeting details

Click Edit (host only)

Change the date and/or time

Save changes — invitees are notified of the change

Go to Calendar

Drag the meeting to a new date/time (host only)

Confirm the reschedule in the popup

Invitees are notified automatically

Only the meeting host can reschedule meetings. Co-Hosts cannot edit or drag meetings.

Conflict Detection

When rescheduling, the system checks for conflicts with your other meetings. If a conflict is detected:

  • You'll see a warning showing the overlapping meeting(s)
  • You can proceed anyway (conflicts are informational, not blocking)
  • Exception: Room conflicts ARE blocking — only one meeting can run at a time in a given room

Ending a Meeting

If you're the host or co-host of an active meeting, you can end it:

While in the meeting, click End Meeting (or from the details sidebar)

Choose to end for yourself or end for everyone

The meeting status changes to "Ended"


Bulk Actions

Select multiple meetings from the Meetings page to perform bulk actions:

To use bulk actions:

  1. Use the checkboxes to select meetings
  2. Click the bulk actions menu
  3. Choose the action

Meeting History

All your meetings (including ended and cancelled) remain accessible:

  • Current view — Scheduled and in-progress meetings
  • Past view — Ended and cancelled meetings
  • All view — Everything together

Use the view tabs at the top of the Meetings page to switch between views.
